Reporting to - Events Director
Working pattern - 5 days/week; additional hours may be required to meet business needs.
Role Purpose
Take ownership of allocated events and deliver exceptional experiences across live, virtual, hybrid, and physical formats. Ensure compliance with legislation, meet financial targets, and provide support to colleagues and clients.
Key Responsibilities:
- Manage events including conferences, exhibitions, meetings, roadshows, product launches, awards dinners, congresses, and team gatherings.
- Attend site inspections, client meetings, and supplier visits.
- Prepare and maintain event documentation (onboarding documents, schedules, technical running orders, rooming lists, badges).
- Build and manage digital products such as websites, registration portals, virtual platforms, and event apps (e.g., EventsAir, Cvent).
- Operate AirCast Studio features and act as Host/Co-Host for virtual/hybrid events.
- Provide administrative support for attendees, organisers, and suppliers before, during, and after events.
- Ensure compliance with GDPR, data privacy, risk assessments, and other relevant legislation.
- Manage HR requirements for events, including training and coaching.
- Work collaboratively with stakeholders and third-party suppliers to protect client and company interests.
- Monitor budgets, invoicing, payment terms, and financial records.
- Support the Head of Events and other managers with ongoing projects.
- Respond to delegate queries via email and phone.
- Anticipate project needs, prioritise workload, and meet deadlines with minimal supervision.
Performance Measurement:
- Achieve departmental financial targets.
- Adhere to project timelines and maintain accurate time logs.
- Ensure quality standards and compliance with legislation.
- Demonstrate proactive problem-solving and client-focused service.
Work Environment:
- Office-based with regular travel for site inspections and events.
- Requires flexibility to attend events outside standard working hours.
- Collaborative, fast-paced environment with cross-departmental interaction.
Required Skills and Experience:
- Minimum 1 year of event management experience.
- Proficiency in event management platforms (EventsAir, Cvent, etc.).
- Strong organisational and time management skills.
- Ability to manage multiple projects simultaneously.
- Excellent communication and stakeholder management skills.
- Knowledge of GDPR, risk assessments, and event legislation.
- Technical understanding of virtual/hybrid event platforms.
- Problem-solving and decision-making capability under pressure.
