Job Purpose

Lead on the exhibition and sponsorship delivery for the Association’s flagship exhibitions and conferences. Support on various key tasks with a strong focus on customer service, account handling and operational delivery.

Accountability

The post holder will report to the Head of Events.

Key Responsibilities

Duties include but are not limited to:

  • Manage the event logistical requirements for exhibitors and sponsors at all Pensions UK events, to includes:
  1. work with Head of Events regarding key production deadlines
  2. package entitlements
  3. production of sponsored items
  4. production and delivery of exhibitor and sponsor communications, including processing booking forms, invoices, and setting up confirmation templates
  5. manage queries quickly and calmly
  6. production of exhibition technical manuals
  7. production and management of exhibition floor plans
  8. on-site management - ensuring all exhibition and sponsorship contracts are delivered accurately on-site
  9. conference app (exhibition and sponsorship elements)
  10. manage web content for the exhibitor and sponsor profiles
  11. H&S compliance in collaboration with on-site H&S officer
  • methodical filing and record keeping
  • Build and maintain good relationships with exhibitors and sponsors.
  • Continually review and recommend improvements to the value proposition for this group.

  • Work collaboratively with the BD team to maximise value during sales acquisition.

  • Work with BD team to ensure client satisfaction from the beginning of the sales process through to end delivery.

  • Support exhibitors and sponsors with supplier orders for AV, venue, catering, sponsored items.

  • Achieve high levels of client satisfaction and rebook rates.

  • Work with the exhibition management company to assist clients with the planning and delivery of their exhibition stands.

  • Build and maintain good relationships with exhibition suppliers.

  • Work with Head of Events on the delivery of the exhibition structures and features.

  • Work with Head of Events to update and manage costs associated with exhibition and sponsorship delivery. Manage the costs for your assigned areas, prepare and report event budgets including obtaining final costs and tracking costs.

  • Develop a thorough understanding of health & safety principles and ensure all parties are compliant, working closely with the on-site H&S officer.

  • Assist with all show health & safety related documentation and constantly seek to improve knowledge and experience in this area.

  • Assist the Events and BD team with any other appropriate ad hoc tasks as required by the Head of Events.

Essential Experience / Knowledge
  • Proven experience of having previously worked in the events industry managing exhibitions and sponsorship delivery (minimum of three years’ experience).
  • Good knowledge of the exhibitions industry, including good practice, technology, suppliers.
  • Comfortable with travel and working flexible hours.
Desirable Experience / Knowledge
  • Experience of events in the pensions / finance sector.

  • Effective organisational and prioritisation skills – ability to multi-task and to meet deadlines.
  • Accuracy and a keen eye for detail.
  • Excellent communication skills with strong client focus.
  • Knowledge of Salesforce, CRM systems, Microsoft Word, Excel and PowerPoint.

  • Flexible, hardworking, reliable and a keen team player who is also able to work independently and works well under pressure.

  • High personal standards.

  • Open and honest.

Other Information

We are based at offices in London. Our current discretionary arrangements are hybrid working with an expectation that staff attend the office at least 20% of the time, and attend other essential meetings and functions as required by their roles. Flexible working and part-time requests will be considered.
